The Paperwork Your Pet Actually Needs, and Why It Gets Checked

Vaccination certificates, lab results, referral letters, insurance policy documents: it's easy to assume these are just filing. In practice, specific documents get checked, at specific moments, by people who won't proceed without them.

Three situations where the actual document, not just your memory of it, is what's required:

Travel, both international and sometimes interstate, runs on strict paperwork timing. Moving a pet across borders commonly requires proof of specific vaccinations (rabies in particular) and sometimes a health certificate completed within a defined window before travel, often measured in days, not "sometime this year." Missing the timing, or not having the actual certificate on hand, can mean quarantine or being turned away, regardless of whether the vaccination genuinely happened.

Boarding kennels and daycare facilities are usually legally or contractually required to see proof, not just hear about it. Most reputable boarding and daycare providers require documented evidence of core vaccinations (and often kennel cough vaccination specifically) before admission, both for legal liability reasons and to protect other animals on site. "He's had it, I just don't have the certificate on me" is a common reason for turned-away bookings.

Insurance claims are frequently delayed by missing supporting paperwork, not disputed diagnoses. Claims processing commonly requires itemised invoices, referral letters, or prior treatment history alongside the claim form, and delays in gathering these after the fact are one of the most cited frustrations in the claims process. Having the relevant documents already attached to the health event they relate to removes the scramble at claim time.
